Choosing the Right Photocopiers for Your Workplace

Whether you work at home or in an office a photocopier can be a very functional piece of kit. Photocopiers can perform a number of functions that can make your working life much easier. Some photocopiers also combine a number of key office equipment devices together such as scanners and fax machines. This creates a space-saving, multifunctional machine that will carry out a number of tasks including printing, scanning, copying, binding and faxing.

What Features Do You Need?

Photocopiers can be expensive so you do need to assess what features you need before you make any purchasing decisions. The more functions your copier provides the more expensive it is likely to be so you will need to balance cost against need. For example if you already have a scanner and fax machine then you could save money by buying a photocopy that just copies and does not include these functions as well. You will also need to consider if you need a colour photocopier. These are more expensive to buy and run (the ink cartridges can be very pricy). If you only need to colour copy documents and images infrequently then you can save money by using an outsourced printing service for this task. This will be much cheaper than buying and maintaining a colour copier yourself.

Print Volume

Print volume will be a major factor when you are deciding what copier to buy. If you only need a copier as a back-up piece of equipment then you can get away with a small domestic office copier. These are available from computer and office stores and are a cost effective option. These cheaper copiers typically process around 20 to 50 pages per minute and are suitable for low level use. However if you have a high print volume in your office (more than 700 copies per month) then you will a professional office copier. Domestic office printers will not be able to handle a high volume of copying and will wear out quickly. Professional copiers are a more expensive option but they are faster and more robust and can meet a higher level of continuous use. Professional copiers will also have more features such as double sided, increase/decrease size, multiple paper sizes, binding and so on.

Although many offices now use computers for most essential tasks photocopiers are still very important pieces of equipment. Photocopiers allow you to quickly and easily copy documents of different shapes and sizes ready to send out to colleagues and customers. It can be much cheaper to copy out large documents on a photocopier rather than printing them out from your computer. This will also leave the printer free for other people to use which is helpful when you are sharing printers with other computer users on a network.
